Who it's for

For recordings that shouldn't go to someone else's server.

Cloud transcription services work by uploading your audio. That's a problem when the recording is a witness interview, a disciplinary hearing, a client call or a source who was promised confidentiality. ScribeVault is for people who need the text but can't, or would rather not, send the recording anywhere: solicitors and paralegals, investigators, HR teams, journalists and researchers.

Runs on your PC

The open-source Whisper speech model, running locally via whisper.cpp, does the recognition on your own processor. No account, no sign-in, no internet needed.

Flags lines to check

Lines spoken quietly, lines the engine was unsure of and repeated lines are marked, so you know where to listen first.

Check, correct, export

Play the audio from any line, fix the text, name the speakers, then export to Word, PDF, plain text or SRT subtitles.

The promise

ScribeVault stays off the network.

ScribeVault itself never opens a network connection. That isn't a setting you have to find; it's how it's built, and it's tested. The first time you run it, Windows may check the download with Microsoft SmartScreen — that's Windows, not ScribeVault.

  • No uploads, no accounts, no telemetry, no crash reports.
  • No update checks. When a new version is out, it's listed on this page.
  • Licence keys are checked on your PC, offline.
  • Recordings and transcripts stay on your computer.
  • ScribeVault's own test suite runs a full transcription, export and playback under a network monitor, both as a trial and licensed, and fails on any connection.
Honest limitations

What it won't do for you.

A transcript is a draft to check against the recording: not a verbatim record, and not evidence on its own. Please read these before relying on one.

Unmarked lines can still be wrong

Flags catch the most likely mistakes: quiet speech, low-confidence lines and repeats. But a line with no flag can still be wrong, and sometimes confidently so. Two people talking over each other can come out as one clean, plausible sentence. Check anything that matters against the audio.

Slower on older PCs

On our test PC, a recent 12-core desktop, a 3½-minute recording takes about 30 seconds; a typical laptop takes longer. On a PC from before about 2013, the same recording took over 3 minutes, and very old machines will be slower still. On old hardware, expect it to take longer than the recording itself.

English only

ScribeVault uses an English speech model. Recordings in other languages won't transcribe properly.

You name the speakers

It doesn't work out who is talking. You assign each line to a speaker and rename them, and every line with that label follows.

The free trial

  • The first 10 minutes of each recording are transcribed. Shorter recordings are transcribed in full.
  • Everything the trial makes is marked as trial output, on screen and in every export, and the marks can't be turned off.
  • No time limit, no sign-up, no email address needed.
  • Everything else works as in the full version: flags, playback, editing and all four export formats.

To check your download, run Get-FileHash .\ScribeVault-v1.0.0-trial-win64.zip in PowerShell and compare the result with the line above. The capitals don't matter.

Get it

Unzip the whole folder anywhere (Documents is fine), then run ScribeVault.exe. Keep the folders inside it together. To remove it, delete the folder.

Before you run it

Why does Windows warn me about it?

ScribeVault isn't code-signed yet. Windows SmartScreen warns about any new download that hasn't built up a reputation, and says "Windows protected your PC". Click More info, then Run anyway. It usually only asks the first time.

Before you do, check the ZIP's SHA256 against the one above: if it matches, you have exactly the file we published. Some antivirus tools also flag apps packaged the way ScribeVault is (PyInstaller) by mistake. If yours does, the SHA256 check is how to tell it's ours.

What's in the download?

The app, the whisper.cpp speech engine and its English model, and ffmpeg to read your recordings, all inside one folder. ScribeVault includes open-source software under its own licences, including Qt, PySide6 and FFmpeg under the LGPL. The notices are in the LICENSES folder, and that folder's README explains how to replace the LGPL libraries with your own builds.

What about my data?

ScribeVault itself sends nothing, so we never see your recordings, transcripts or anything about how you use it. This page loads nothing from anyone else: no analytics, no fonts, no trackers. If you email us, we use your address only to reply. The data controller is Joshua Wall, trading as VaultSoft. To ask about or delete your data, email support@vaultsoft.co.uk.

How do I get updates?

ScribeVault never checks for updates itself. New versions are listed on this page. Download the new ZIP and replace the old folder. Your transcripts are saved beside your recordings, not in the program folder, so they aren't touched.
